Terms and Conditions

Important: Please review these terms carefully before engaging our services. By making a payment, you agree to be bound by all conditions outlined below.

1. Service Agreement & Process

1.1 Order Process and Payment

Upon reviewing your project plans and scope, we will provide a formal service quote. Work commences only after we receive your written confirmation and full payment via our secure payment link (Stripe or PayPal). Payments are generally non-refundable once our estimators begin work on your project.

1.2 Delivery Timeline

For standard structural steel and miscellaneous metals takeoffs and estimates, delivery is typically within 3–5 business days after order confirmation and payment. Complex projects or bundles involving multiple scopes may require additional time, which will be communicated upfront. The timeline begins only after we have received all necessary drawings, specifications, and project details.

2. Assumption Policy

Scope of Work & Basis of Takeoff

Our professional quantity takeoff services are performed strictly based on the plans, drawings, and specifications provided by you at the time of service initiation. We do not engage in value engineering or make significant design assumptions.

Key Points:

  • Basis of Measurement: All takeoffs are based on scaled PDF drawings unless explicitly agreed otherwise in writing.
  • Limited Assumptions: In cases where plans lack clarity, we may make minimal, reasonable assumptions at our discretion to proceed with the takeoff. Any such assumptions will be clearly documented and noted in the delivered report.
  • Excluded Services: The following services are not included in standard takeoff/estimate fees and will be billed separately if requested:
    • Filling out bid forms or project information forms
    • Incorporating revisions or changes to the original drawings
    • Processing addendums or supplementary documentation received after work has begun

The accuracy and completeness of our deliverables are directly dependent on the quality and clarity of the documents you provide.

3. Revisions & Addendums Policy

3.1 Minor Revisions (Included)

One round of minor revisions is included with each deliverable. Minor revisions are defined as corrections that do not alter the fundamental scope or design intent of the estimate, such as:

  • Correcting typographical errors in labels or annotations
  • Adjusting minor dimensions where the overall quantity is not significantly affected
  • Clarifying notes or descriptions without changing material counts or costs

3.2 Major Revisions & Addendums (Additional Charges Apply)

The following types of changes are considered major revisions and will be quoted as a new or additional service:

  • Significant Scope Changes: Modifications that alter the structural design, materials, or overall project intent.
  • Plan Revisions & Addendums: New or revised drawings (e.g., architect/engineer addendums) that require substantial re-work of the completed takeoff.
  • Redesigns: Changes to structural elements, connections, or specifications that necessitate starting significant portions of the work anew.

3.3 Revision Process

All revision requests, whether minor or major, must be submitted in writing (via email). Consolidated requests are strongly encouraged to avoid delays and ensure efficient processing.

4. Takeoff and Cost Estimation Disclaimer

Critical Notice Regarding Cost Estimates

Nature of Cost Data: Our cost estimates are prepared using industry-standard costing databases (such as RS Means) and other recognized resources to provide average, zip-code-based pricing. These estimates are intended as a guideline and budgeting tool only.

What Estimates Do NOT Include: The provided costs do NOT account for:

  • Your company's specific overhead, profit margins, or equipment costs
  • Custom fabrication or material pricing from specific suppliers/manufacturers
  • Validated quotes from vendors or subcontractors
  • Unique project conditions, consumables, or regional market fluctuations at the precise time of procurement

Client Responsibilities & Adjustments:

  • Price Verification: You are urged to carefully review all pricing before making any project decisions. Market conditions in the USA and Canada are volatile, and actual costs will vary.
  • Custom Price Integration: If you have a preferred price list or subcontractor quotes, we can incorporate them into your estimate upon request.
  • Editable Deliverables: Final estimates are delivered in an editable Excel format, allowing you to adjust all unit prices, labor rates, and other factors to align with your specific business model.
  • Final Quality Control: While we strive for maximum accuracy, you are responsible for performing your own final review and quality control to ensure the deliverables meet your expectations and account for all job-specific variables.

The accuracy of our work is fundamentally linked to the quality of the drawings provided and the clarity of the project scope communicated by you.

5. Payment & Refund Policies

5.1 Payment Terms

Full payment is required to initiate any service. We accept secure payments via major credit/debit cards, ACH, Apple Pay, and Google Pay through our trusted partner, Stripe. We do not store any payment details on our servers.

5.2 Refund Policy

Due to the immediate commencement of specialized labor, fees are non-refundable once work has begun. A refund may only be considered under the following strict condition:

  • A written cancellation request is received via email within 5 hours of payment confirmation, and our estimation team has not yet started work on your file.
  • Refund requests are reviewed case-by-case at our discretion. Approved refunds will be issued to the original payment method within a reasonable timeframe.
  • No refunds are provided for completed or delivered work.

6. General Terms

6.1 Liability

Our services are preparatory and advisory. Structural Steel Estimating shall not be liable for any construction issues, bidding outcomes, project delays, or costs arising from the use of our deliverables. Our liability is limited to the value of the service fee paid.

6.2 Intellectual Property

All estimates, takeoffs, reports, and methodologies produced remain our intellectual property. You are granted a license to use the deliverables for the specific project they were created for. Redistribution, resale, or use for unrelated projects is prohibited.

6.3 Changes to Terms

We reserve the right to update these Terms and Conditions at any time. The latest version will always be posted on this page, and your continued use of our services constitutes acceptance of the updated terms.
